Role description:
Arcadis is looking to hire an Executive Legal Assistant. Potential candidate will report to the Legal Operations Manager and support the Arcadis North America Region General Counsel and the Global Business Area (GBA) Legal Director (Resilience), in addition to, assisting the Arcadis North America Region Legal, Compliance, and Privacy (LCP) team. Candidate will assist the staff and executives with day-to-day administrative responsibilities.
Reporting Lines: ANA Legal Operations Manager
Role accountabilities:
The Legal Assistant will assist our Legal, Compliance, and Privacy (LCP) team and executives with the administration of the following:
- Scheduling meetings and maintaining calendar for General Counsel and GBA Legal Director
- Assisting with travel arrangements, preparing expense report, and credit card statement reconciliation submittals for executives (and attorneys as needed)
- Senior Management Team and All Hands meeting coordination (facilities/food & beverage service) as needed
- Secretary to the Joint Venture Excellence Committee (includes coordinating meetings, taking minutes, tracking JV’s in progress, coordinating and managing the JV closure project)
- Receiving Service of Process (from registered agent, CT Corporation), researching project information across various company databases, and providing data to appropriate in-house counsel or paralegal
- Vetting Corporate Contributions and Memberships requests and coordinating touchpoint meetings with in-house counsel and others
- Formatting and mailing correspondence
- Creating and/or editing PowerPoint presentations
- Collecting updates and drafting monthly LCP newsletters
- Updating and maintaining legal reference documentation on the intranet
- Maintaining various LCP document libraries in Teams and/or SharePoint sites
- Filing corporate governance documentation (electronic and hard copy)
- Monitoring annual subscriptions, assisting attorneys with bar and membership renewals
- Organizing, tracking, and managing an extensive amount of data
- Collaborating with and/or assisting other internal departments (i.e., Enabling Functions or Operations) with in-bound information requests, at all levels, including business leaders and directors
- Maintaining discretion while handling highly confidential material
- Ordering and maintaining office supplies
- Other administrative duties as they arise
Qualifications & Experience:
Required Qualifications:
- 3+ years experience in legal operations (law firm or corporate)
- Excellent communication, problem-solving, and relationship management abilities with a high attention to detail
- Strong time management, multi-tasking, and organizational skills with ability to meet critical deadlines and manage competing priorities
- Strong interpersonal and collaboration skills with the ability to operate effectively in a team environment
- Capacity to understand complex issues and explain clearly
- Exercise high degree of integrity
- Strong project management skills
- Experience supporting VP+ level
- Experience supporting remote workers
- Strives to gain strong institutional knowledge about department and company processes
Preferred Qualifications:
- Bachelor’s degree or certification
- Experience with Microsoft products (Outlook, Teams, SharePoint, Word, Excel, etc.), e.g., Legal Tracker, hCue/CTAdvantage, Oracle, Workshare Compare (aka Litera)
- The ideal candidate would be in proximity of our Highlands Ranch, Colorado, office with an option to work remotely from home

The salary range for this position is $60,000 - $80,000. Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
