Team / division overview
The Sourcing Contract Specialist reports to the relevant Head of Category and performs activities such as contract negotiation, contract finalization, and amendments to contracts related to the legal terms and conditions of supplier contracts. They liaise closely with Procurement colleagues, business stakeholders, and suppliers, as relevant. The Sourcing Contract Specialist will support the setup and management of the entire contract lifecycle, from initiation to execution, and electronic storage. They will work with the Legal function regarding utilization and updates to standard contract templates. The Sourcing Contract Specialist also supports the sourcing process working with Category Management colleagues and stakeholders to produce and evaluate RFP’s (Request For Proposal) from suppliers in accordance with our policies and procedures.
Key Responsibilities:
Contract Management:
- Support Negotiation, finalising, and amending contracts related to sourcing.
- Liaise with Procurement, business stakeholders, and suppliers.
- Ensure compliance with legal terms and conditions.
Contract Lifecycle Management:
- Support the setup and management of the entire contract lifecycle.
- Work with the Legal function on standard contract templates.
- Ensure electronic storage of contracts.
Sourcing Process Adherence:
- Follow and adhere to the sourcing process and relevant policies.
Manage and Execute RFP Process:
- Manage and execute the RFP (Request For Proposal) process in the Ariba system.
- Prepare documentation of requirements and questions for vendors.
- Obtain responses and evaluate them with stakeholders.
Produce Analysis and Reports:
- Produce analysis and reports on trends in category spend.
- Identify opportunities for improvements.
Maintain and Update Category Management Information:
- Maintain and update Category Management information in SharePoint/Intranet.
- Describe processes and guide stakeholders.
Key Skills & Experience
- Bachelor’s degree holder in Accounting, Finance, Law, Business Administration or any related course and preferably with Procurement qualification such as CIPS (Chartered Institute of Purchasing & Supply)
- Proven experience in Procurement, Sourcing and/or Contract Management
- Analytical and problem solving skills combined with excellent written and verbal communication skills
- Knowledgeable in Procurement sourcing systems especially Ariba
- Amenable to midshaft schedule (2pm to 11pm)
