Job Responsibilities
Tokyo GBM Public Compliance is located on the trading floor and is responsible for comprehensively identifying and managing the regulatory, legal and reputational risks of the GBM Public.
- Providing secretarial and administrative support to compliance officers in APAC GBM Public Compliance, mainly Tokyo team, but expected to support APAC Team, co-working with other assistants located in Hong Kong and Singapore.
- Providing support to GBM Public Compliance new joiner arrangements
- Extensive diary management and meeting coordination
- Answering phone calls from external / internal clients
- Global/local travel arrangements
- Expense report and invoice processing
- Hosting global visitors from other GS offices
- Ordering books and stationeries
- Supporting Compliance training arrangements for GBM Public personnel. (e.g. preparation for training materials, scheduling, arranging logistics, managing attendee lists (including necessary follow-up), logging of the attendance in the training system, keeping the record)
- Supporting policies related activities for policies where GBM Public Compliance team members are being the owner.
Qualifications:
- More than 3 years of experience as an Executive Assistant (Team Assistant experienced preferred) in global financial institution
- Good interpersonal skills with native level Japanese and fluent English (written and spoken)
- Well business mannered
- High level of attention to detail and ability to handle multiple tasks under pressure
- Flexible and driven to work in a dynamic and challenging environment
- Team worker, Organized, proactive and efficient with the proven ability to take initiative
- Favorable user of Microsoft Office
