A Day in the Life

This position is a member of the Invention Disclosure workstream within the IP Specialist’s COE team and reports to the Invention Disclosure Manager. The Legal Assistant IV will provide support to IP Attorneys as well as the inventor community to assist in efficiently processing invention disclosures and timely filing priority applications. The ideal candidate for this position will not only effect change but also thrive in an environment that values employees work and ideas.

Location: this position can work from any US Medtronic office location or potentially work remote.

Responsibilities may include the following and other duties may be assigned.

  • Maintain up-to-date task calendar to ensure duties are handled timely.
  • Generate invention reports as requested.
  • Rely on patent prosecution knowledge to ensure matters are handled in a fashion that abides by applicable patent laws.
  • Engage in bi-weekly team calls to ensure potential issues are raised and addressed.
  •  Monitor incoming new disclosures for upcoming usage and public disclosures, alerting in-house attorneys and outside counsel as needed.
  • Supports IP department’s projects and initiatives
  • Create and maintain accurate priority patent matters using standards set by team.
  • Assist in creating meetings with both in-house attorneys, outside counsel and inventors.
  • Assist in special projects as they arise to enhance team efficiencies.
  • Work in tandem with the US and OUS teams to ensure assignments are completed correctly based on attorney decisions.
  • Organize and lead monthly docket meetings with attorneys.
  • Maintain accurate invention records within the internal asset management system.
  • Collaborate with internal attorneys as well as our outside counsel to maintain accurate File by Dates to assist with budgeting and reporting.
  • Provide back up support to other Invention Disclosure Specialists.
  • Perform weekly and monthly audits to ensure the accuracy of data on active records.
  • Alert in-house attorneys and outside counsels of filing restrictions based on inventor citizenship, residency, and/or applicant details.
  • Collaborate with in-house attorneys and tax as needed to obtain assignment chain particulars.

MUST HAVE: MINIMUM REQUIREMENTS:

  • High School Diploma or GED with 6+ years of administrative experience to include experience within legal corporate or legal office setting

NICE TO HAVE:

  • Experienced in Anaqua
  • Experienced in managing multiple calendars for attorneys.
  • Experienced in Excel and Power Point applications.
  • Excellent communication skills.
  • Experience and skills working with IT systems such as electronic billing, file management, and matter management systems.
  • Project management experience.
  • Experience in a medium to a large sized law firm or a corporation.
  • Ability to clearly communicate with senior management within an organization.
  • Foster a strong team dynamic.
  • Experience working with team members who are not geographically co-located.
  • Demonstrated ability to think creatively about how to do more with less, and how to lean out complex processes.
  • Experience in SharePoint and Teams.

Salary ranges for U.S (excl. PR) locations (USD):69,600.00 - 104,400.00
