Job Description

Under general supervision (but works independently most of the time) responsible for providing administrative services to support to senior management/executives.

Major Duties:

  • Manages complex daily calendar management including meetings, appointments, conferences and outside engagements, including engagements with external regulatory agencies 
  • Coordinates travel arrangements for domestic and international travel and prepares travel itineraries
  • Monitors e-mails, screens telephone calls and visitors and provides general assistance
  • Prepares internal and external correspondences, reports and presentations. Maintains confidentiality of correspondence records, presentations and reports in a filing system
  • Communicates and acts as a liaison between the external or internal executives, managers, clients, and regulatory agencies in coordinating meetings, responding to inquiries and/or special requests
  • Handles finance and expense management for the senior management/ executive such as invoices, expense processing, etc.
  • May transcribe notes for senior management/executives
  • May have direct interaction with committees and/or Senior Management/Executives
  • Prioritizes and handles multiple projects with accuracy
  • Delivers a work product that requires less revision
  • Able to facilitate discussions and reach decisions

  • Willingness to provide remote support to certain leaders located in the U.K. / Ireland.

Experience :      

  • A College or University degree and/or relevant administrative support experience is preferred.
  • Prior experience supporting at the executive level is required

Salary Range:

$52,800 - 79,200 USD

Salary range is a good faith estimate of base pay. Northern Trust provides a comprehensive benefits package including retirement benefits (401k and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well-being benefits. Northern Trust also provides a discretionary bonus program that may include an equity component.
