The Sales Administration team is almost complete. Following the integration of the latest Skeepers solutions, we have implemented an invoicing tracking software and work methodologies adapted to our growth. Our goal is to manage all invoicing processes while effectively supporting our clients with their subscription payments.
Your Manager
You will join a team of 39 people, managed by Stéphane Vais, our CFO. Youll be responsible for the Sales Administration team, 10 people dedicated to manage the invoices and the Cash Collection. Working in the Sales Administration team means that you are someone with strong soft skills such as being problem-solving and teamwork spirit. Rigour and resilience are core values of the team.
💡 Your Responsibilities
To put it in a nutshell, youll be responsible for overseeing and managing all activities related to invoicing and accounts receivable collection. As the leader of the Sales Admin team, you provide support and guidance to sales teams to ensure the relevance of quotes and client contracts. This role requires strong management skills, acute attention to detail, and excellent communication abilities.
Invoicing Supervision
- Oversee the preparation of invoices to ensure accuracy and compliance with client contracts and quotes.
- Work closely with Sales, Sales Ops, and Client Ops teams to validate and verify information on quotes and contracts.
- Manage disputes and claims related to invoicing.
Accounts Receivable Collection Management
- Ensure that receivables collection procedures are implemented effectively and improve them when necessary.
- Maintain constructive yet firm relationships with clients to facilitate the collection of outstanding payments.
- Prepare regular reporting on accounts receivable status, including aged balances, internal collection performance (via the dedicated collection team within the ADV team), and external performance via third-party collection providers utilized alongside internal efforts (notably cohort analysis).
- Propose corrective actions as deemed necessary.
Support and Guidance for Sales Teams
- Provide daily support to sales teams regarding invoicing and contract questions.
- Organize training sessions for sales teams to enhance their understanding of invoicing processes and requirements.
Management of the ADV Team
- Supervise, train, and evaluate a close-knit team of eight people.
- Provide leadership and guidance to develop team skills and improve performance.
- Hold regular team meetings to track progress and address issues.
What We Are Looking For ?
We are looking for a profile who is rigorous and who can support the team in daily tasks and bring their experience in Sales Administration.
You have strong management and leadership skills and have the ability to work closely with sales, customer support, and accounts receivable teams.
Because of the nature of the job, you also have high attention to detail and strong analytical skills and youre also easy to talk to and keen to ask questions when you need information.
Skeepers is an international company so you are also fluent in English.
The knowledge of Salesforce (CRM tool) and/or Sofacto (billing software) is a significant advantage.
