Requirements:

Education and Experience: Bachelor’s degree in healthcare administration, business administration, or equivalent education and experience AND

five years of experience in healthcare management including at least 3 years of related supervisory experience,

Travel: Ability to travel to other and/or remote locations.

A Well-Qualified Candidate will possess:

  • Experience: 3 years of management experience in a clinical or medical office setting.

  • Technical Skills: Proficiency with healthcare management software, Electronic Health Records (EHR) systems, and MS Office suite.

  • Problem-Solving: Strong problem-solving and decision-making skills for managing day-to-day clinic operations.

  • Leadership: Strong leadership and team management skills.

  • Communication: Excellent written and verbal communication abilities to interact effectively with patients, staff, and stakeholders.

  • Regulatory Knowledge: Knowledge of healthcare regulatory requirements, HIPAA, and patient confidentiality standards.

  • Organizational Skills: Strong organizational skills with the ability to multitask and prioritize.

  • Additional Experience: Marketing and community outreach experience preferred.

What you need to know

Location: The Clinic Manager works primarily in a clinical setting and may occasionally travel to events and meetings within the community.

Schedule: This position may require work beyond normal office hours and/or work on weekends.

Supervisory: This position is a supervisory role.

Responsibilities

Clinical Operations

  • Manages daily operations and the activities of the Concierge Medicine Clinic staff, ensuring a smooth and efficient workflow.

  • Oversees patient care processes to ensure exceptional client experience, from scheduling to follow-up.

  • Collaborates with the Director, Clinical Operations, to develop, implement, and monitor clinic policies, procedures, operational strategies and protocols.

  • Directs oversight of clinic operations, including administrative tasks, documentation, purchasing, inventory management, and quality assurance.

  • Ensures that client issues and concerns are addressed promptly and appropriately.

  • Maintains clinic inventory and purchasing, ensuring supplies are available and costs are controlled.

  • Provides leadership to clinical operations to ensure care team provides the highest level of patient satisfaction possible

  • Reviews, recommends and implements policy changes and initiates process changes

  • Provides guidance and coordinates preferred presentations of clinical office communications and other materials.

  • Coordinates maintenance of clinical business files.

  • Serves as communication liaison to physicians, staff, and patients to assist in coordination of business activities.

  • Coordinates and assists in logistical and administrative support for events, meetings, specialized activities, projects, and business travel activities.

  • Provides compliance oversight to clinical staff.

Staffing

  • Supervises the clinic staff and reviews staff performance.

  • Assigns tasks and evaluates progress made by staff.

  • Interviews, hires, and trains staff.

  • Provides development to maintain a high level of staff competence and morale.

  • Authorizes time off requests and ensures adequate staffing for patient care.

  • Assists in monitoring and changing staff time schedules to ensure the appropriate availability of staff needed to allow the delivery of effective and efficient patient care services at the time of the first scheduled appointment of the day.

  • Creates a weekly clinic schedule to support clinical staffing needs.

  • Develops and manages clinic and staff schedules, ensuring appropriate coverage and maintaining operational efficiency.


Recruitment & Community Outreach

  • Supports recruitment efforts for concierge membership by developing strategies to attract and retain members.

  • Represents the clinic at internal and community event to market services, build partnerships, and promote networking opportunities.

  • Investigates complaints and resolves issues as needed.

  • Performs other duties as assigned.
