What we want 

Mays Business School is seeking a Program Coordinator II, with an engaging, outgoing mind-set. The successful applicant might have experience in sales, teaching, customer service, project/event management or recruitment with a passion for Finance and/or STEM related fields. You’ll recruit current Texas A&M students pursuing Science, Technology, Engineering Mathematics (STEM) or Economics related majors to start their junior year in the Mays Master of Science in Finance (MSF) Program. These students invest in a fifth year at A&M to get a finance master’s degree and launch their first career.

In this rewarding position, you will work collaboratively with leadership, plan and execute student recruiting events, supervise student recruiters and develop working relationships with academic advisors in targeted undergraduate programs. You will assist the MSF Director in many aspects of the program with an emphasis on recruiting/admissions, event planning support and managing office operations including vendors and student workers/volunteers. The MSF (a.k.a. STEM to Stocks) is one of Texas A&M’s premier interdisciplinary programs and comprises approximately 200 students (2024-25) across three cohorts each year.

Essential Duties/Tasks

Recruiting and Admissions

  • The Program Coordinator II is directly responsible for leading all recruiting and admissions programs and for achieving the program’s target of new program students each year. The Program Coordinator II designs and implements the program’s recruiting plans, subject to Director approval, that target specific Texas A&M colleges, programs, and students. Plans and executes local student recruiting events. Supervises the Student Ambassador program (student recruiters). Develops working relationships with academic advisors in targeted undergraduate programs to facilitate recruitment. Maintains database of prospective students and conduct appropriate periodic outreach activities including, but not limited to email and phone campaigns.  This position requires giving frequent information sessions, which will require presentations on main campus as well as evening presentations regularly along with occasional weekends. 

  • Interacts with walk-in traffic, email and phone requests, answering questions and promoting the program. Tracks and reports relevant recruiting and admissions statistics. Liaises with other graduate and finance programs to coordinate recruiting efforts. Works with the Mays Communications group to develop promotional materials and campaigns. Recommends, procures and maintains the stock of promotional materials to be used in recruiting.  Assumes beginning-to-end responsibility for the program admission process and work in coordination with designated departmental and Mays admissions staff. Participates in the student selection process. Manages the onboarding of new students. Coordinates the incoming student orientation. Manages the admitted students to ensure maximum retention.

Program Operations

  • The Program Coordinator II is also responsible for assisting in the planning and ensuring the successful execution all MSF stakeholder events (currently 15 - 20 per year).

  • MSF stakeholders include a corporate advisory board (currently 37 members) and a steering committee as wells as students and alumni. 

  • The Program Coordinator II is responsible for managing office operations including vendors and student workers/volunteers (MSF Leadership Program).

  • Student workers/volunteers primarily assist the Program Coordinator II in performance of their duties.  Participates in developing strategic plans based on program goals and assists the Director in planning and budgeting for the program. Executes program purchases ensuring budgetary compliance. Manages budget expense reports and provide analyses to the Director. Reviews and approves non-salary expenses in coordination with Director and Assistant Director. Participates in planning, directing and coordinating of operational or procedural matters to meet program goals and objectives. Develops reports, analyses and surveys as requested by the Director. Represents the program on various committees.

Academic Advising

  • In conjunction with other staff, coordinates special training used in Finance (i.e., advanced Excel). Administers the Charted Financial Analyst and the Chartered Market Technician Scholarship programs. Coordinates program-specific courses (i.e., FINC 267). Designs, coordinates and/or presents special on and off campus employer/student events, such as student enrichment seminars and industry related experiences. Works on special assignments assigned by the MSF Director and may perform other duties as assigned.

Qualifications

Required Education and Experience

  • Bachelor’s degree or equivalent combination of education and experience.

  • Four years of progressively responsible experience in recruiting, teaching/training, sales, customer service, program/project management, public relations, or event coordination.

Preferred Qualifications

  • Bachelor’s or master’s degree in business, economics, or STEM field.

  • More than four years of progressively responsible experience in recruiting, teaching/training, sales, customer service, program/project management, public relations or event coordination including some supervisory experience.

  • Two or more years of non-A&M experience working industry in a STEM or business-related field.

  • Ability to coordinate large-scale marketing/recruiting, and/or fundraising programs.

  • Familiarity with general processes, culture and procedures associated with admissions and academic function. A strong interest in helping students, and particularly STEM students enter the field of finance.

  • Significant knowledge/interest in the consulting, corporate and financial service industries.

Required Knowledge, Skills, and Abilities

  • Effective analytical, interpersonal, organizational and presentation skills

  • Ability to always maintain a highly professional business image consistent with program standards. 

  • Above average proficiency in Microsoft Excel, Microsoft Word, Microsoft Outlook, PowerPoint.

  • Ability to learn and use Customer Relationship Management (CRM) and QuickBooks software.

  • Ability to create professional looking marketing materials using common software (i.e., Canva or Adobe).

  • Ability to work with and manage college age students.

  • Comfortable with taking responsibility for achieving specific recruiting goals.

  • Ability to organize, create, and execute major projects and initiatives related to recruiting and admissions.

  • Must display creativity, initiative and the ability to deliver successful results in a fast-paced environment with a high degree of professionalism, accuracy and consistency.

 

Physical Requirements

  • Ability to lift and move medium weight objects and ability to ascend/descend stairs to travel.

  • Ability to independently travel to other/remote locations, including by commercial airplane if necessary.
