The Associate Director, Sponsored Programs Administration (Systems & Operations) is responsible for the strategic and operational oversight of business processes and day-to-day operations of the Systems & Operational Support (SOS) unit of The University of Louisville Office of Sponsored Programs Administration (OSPA). The position is responsible for ensuring the team’s superb customer support to other OSPA units and to the research community through proposal establishment and tracking, award establishment and modification, reporting, training, data quality review, and related administrative support activities. The position also focuses on the development, implementation, and delivery of sound electronic systems to enhance the efficiency of internal business operations and therefore requires a deep understanding of electronic research administration and accounting systems and fluency in a diversity of internal and external funding requirements.
Duties also include liaising with other divisions within the Office of Research & Innovation and with faculty researchers, scientists, and staff members across the university to advance basic and applied/translational research including animal and human subjects research, healthcare, and other sponsored activities.
The position allows for a remote or hybrid schedule.
Essential Duties and Responsibilities
Oversee unit workflow/processes, workload distribution, customer service delivery, quality/quality control, productivity, and training. Foster a strong culture of customer service, support, professionalism, and efficiency within the unit.
Train unit personnel in procedures and policy, with an end goal of self-sufficiency in developing and documenting standard operating procedures.
Develop, implement, integrate, and manage the use of electronic research administration systems to facilitate sponsored program operations, including legacy, current or future systems such as PeopleSoft (Financials, Grants Module), iRIS (Grants & Contracts Module), Cayuse (Sponsored Projects, Proposal S2S), and Workday (Financials).
Develop electronic research administration system training materials and facilitate educational sessions to the OSPA and UofL research community on said systems. Advise and assist office and research community personnel in using electronic research administration systems to promote business efficiency and compliance with external funding requirements. Mentor personnel to assume leadership roles in the administration of these systems.
Facilitate interactions between unit personnel, OSPA, other Research & Innovation units, and university departments. Educate and assist university research faculty/staff in policies and procedures regarding sponsored programs.
Develop and administer additional systems and business processes (including legacy systems/processes) in use by OSPA. Coordinate operational and strategic research reporting on behalf of OSPA.
Collaborate with managerial-level personnel and supervise and mentor grant and contract assistants.
Other duties as assigned.
Preferred Qualifications
Bachelor’s degree and seven years of experience in higher education sponsored programs/research administration. An equivalent combination of education, training, and/or experience may be substituted for the requirements noted.
PeopleSoft, Workday, or other related software experience. Cayuse or other electronic research administration system experience. Excel, Microsoft Word and Internet browser experience.
Experience in presentations, training and in the development of policies and procedures.
Provision of excellent customer service.
Demonstrated management and leadership abilities.
Direct experience with diverse types of sponsored proposals and agreements.
Previous operation management or project management experience.
Effective oral, written, and interpersonal communication skills.
