Federal, state, and local regulations can impact how we sell, market, and distribute products in various markets across the country. As a national distributor, retailer, and producer, this requires specialized business solutions to ensure compliant business practices across impacted markets. Our Legal team monitors, researches and defines the regulatory requirements while the Regulated Product Distribution Sr Specialist provides support to the Regulated Product Distribution Planning Senior Manager. The Sr Specialist manages the day-to-day tasks, documentation, and communications related to compliance initiatives. This role ensures the timely and accurate execution of processes to meet state and federal product regulatory requirements. The Sr Specialist will work closely with cross-functional teams, vendors, and internal stakeholders to support compliance operations while maintaining organized records and resources.This position has been segmented as Remote Anywhere meaning the work is completed 100% remote anywhere in the U.S. except Hawaii or United States Territories.
RESPONSIBILITIES
Assist in evaluating the implications of product restrictions for products and operations. Track regulatory deadlines and support the execution of compliance initiatives to meet effective dates
Act as a liaison between the Regulated Product Distribution Planning, Sr. Manager and Field teams, Center Category Management, and Legal to ensure alignment on compliance activities
Respond to inquiries from internal stakeholders and provide guidance on regulatory requirements and compliance processes
Support the development of IT tools and solutions to improve compliance tracking and reporting capabilities
Partner with vendors and suppliers to ensure that they are effectively partnering with USF efforts and strategies to drive compliance with product restrictions
Support Senior Manager with Extended Producer Responsibility (EPR) laws across multiple states, ensuring adherence compliance to evolving regulations
Collaborate with the Product Information Management (PIM) team to ensure vendors provide proper documentation before Senior Manager approval of product description updates and designation
Draft vendor, US Foods Associate, customer, and seller communications aimed at ensuring regulatory compliance, fostering alignment and driving significant change
Oversee the creation and implementation of “Roll Out Books” leveraged by the Field to drive regulatory compliance and ensure consistent SOPs
Manage and consistently maintain Product Regulations SharePoint sites including customer letters, Seller FAQs, items lists, supplier outreach files, and program tracking files. Assist in developing and updating compliance playbooks, SOPs, and training materials in collaboration with FSQA and OpEx teams
Ensure the registration of facilities and products and complete any annual reporting requirements, as required
Support and design the process for reviewing compliance with product restriction programs, including but not limited to developing reporting, review cadence, and score carding of compliance
Execute on product restriction zip blocking at the market level to prevent sales of non-compliant product.
Maintain project tracking files and provide regular status updates to stakeholders. Schedule and facilitate meetings, including preparing agendas, documenting meeting notes, and tracking action items
Support the preparation of materials for Bi-weekly Steering Committee meetings
Identify process gaps and recommend improvements to streamline compliance efforts

RELATIONSHIPS
Internal - Works closely with a diverse cross-section on an enterprise-wide scale to include Operations, Legal, Merchandising, Tax, Finance, Product Information Management, Product Development, Category Management, IT, FSQ as well as SLT and ELT members
External - Closely collaborate with vendors, suppliers, auditors and third-party partners and consultants.
Remote: This role is fully remote, and the associate is expected to perform assigned responsibilities from a home-based environment
MINIMUM QUALIFICATIONS
Must possess a minimum of 5 years of experience in project management, regulatory compliance, or other relevant area.
Prior Merchandising and operational experience, understanding of roles and the work performed in the Field strongly desired
Strong organizational skills with the ability to manage multiple priorities and deadlines
Effective communication and collaboration skills, including experience working with cross functional teams
Functional understanding of products, product descriptions and product categories
Working understanding of relevant ordering systems
Ability to identify potential challenges and issues and align with appropriate internal stakeholders to solve
Ability to digest nuanced laws and regulations and guide business processes and plans accordingly
Strong attention to detail and ability to evaluate documents for completeness and accuracy
Excellent judgment
Sense of urgency to address and solve challenges
Experience in SharePoint and MS Suite
Up to 5% overnight travel required
EDUCATION
Bachelors degree or equivalent experience in project management, marketing, sales, business or related field
CERTIFICATIONS/TRAINING
Certified Project Manager-Preferred
Compensation depends on relevant experience and/or education, specific skills, function, geographic location, and other factors as applicable by law (for example: state minimum wage thresholds). The expected base rate for this role is between
